When to make an inquiry

We make inquiries when we want to obtain some information we are in need of.

When we write inquiry letters, we ought to make the requirements prominent and clear in a proper way because it is this part that helps us achieve the purpose of getting information

There are two types of inquiries

n      general inquiries

If the importer wants to have a general idea of the commodity, he may make a request for a pricelist, a catalogue, samples and other terms. This is a general inquiry.

n      specific inquiries

If the importer intends to purchase goods of a certain specification, he may ask the exporter to make an offer or a quotation for the goods. That is a specific inquiry.

The structure of a general inquiry:

Opening: Introduce yourself and make your request (Ask for a catalogue, samples or a pricelist)

Body:     Give any necessary details

Closing:  Restate your request giving a date by which you need a response. Make sure you state why you need the  response by this date.

The structure of a specific inquiry

opening: names and descriptions of the goods inquired for, including specifications, quantity, etc.

Body:  Asking whether there is a possibility of giving a special discount and what terms of payment and time of delivery you would expect.

Closing:  Stating the possibility of placing an order. Restate your request giving a date by which you need a response.

.•When we write replies to inquiries, we should be prompt and polite. No important points which the inquirer wants should be left out.
