1 Deductive approach
Directness in good news and routine messages
The message start begins with the main idea, followed by supporting
details, and end with goodwill
Inductive approach
Indirectness in bad news messages
An indirect order consists of four parts:
1. a buffer
2. the reasons supporting the negative decision
3. a clear, diplomatic statement of the negative decision (implied
refusal)
4. a helpful, friendly and positive close.
Examples of buffer
• Give any good news

• Give a chronological account or a fact

• State a general principle

Reasons
• Give a solid and watertight reason.
an inadequate reason is worse than none.
• Don’t blame company policy.
• Don’t give reasons that reflect badlyon the company.
Implied refusal
Clear but indirect:
